Ongoing communications issues

We are continuing to have issues with members receiving issued communications. Here are at least three issues I've isolated, but there are likely more:

1) We are still unable to choose our own ages for each program, so, for example, some children who practice with Teens must be listed as Juniors. This causes a ton of confusion when it comes time to register for testing and other events, or even simply viewing the schedule. People can't see things that correspond to them, and it becomes infinitely harder to communicate.

2) Manual push notifications are showing up blank. They have no content, and trying to click them in the app shows a blank space. This is for every student in our facility and appears to be a code error of some kind, because other push notifications are working ok.

3) There is the ever-relentless issue of missing emails. People are not receiving our emails that we send out, especially when it comes to important reminders. So far we've tried to send out our list of emails used to parents to add to their safe senders list, but sometimes emails flat out aren't received at all. What is happening here? Is there something the developers can do to prevent our emails as being marked spam?

Can we have a way to show memberships into a more divded group?

Is there a way we can have our memberships divided into more groups?  In Kicksite, we could pull up all the memberships or by grouping.  This was by Single (1 member/household), Double (2/hh), Triple (3/hh) or Family XL (4 or more/hh).  This would make it easier to search and to calculate the average membership.

Or, if the system could calculate our average membership based upon the criteria (local rates for those membership, etc), that would be great too.

Give specific students "prepaid testings" or $0 testings by default

It would be great if we could go into a student's profile and manually override all future testing prices for them, or for a specific number of testings (and we could just write like 999 as a placeholder for all being prepaid). It's easier than going into each individual testing time and category, looking for each student who has prepaid testings, and manually changing it every time

We would like to create a CUSTOM (not a system set message) that we can send out to all the leads at once and have their membership link included.  We'd like to have a message that says something along the lines of, "liking what you see?  Skip the line and sign up now at the link below".  We would like to be able to set this message though so that we can play with it and try different phrasing to see if some get better response than others.  We would like to manually be able to send this (not have it as part of a campaign)

2.  When the "all xxx" button is clicked, could we have it select all the check boxes below it (like we can do on the eligible page to select communications).  For example, we may have an event that we want all adults Green+ to attend.  It would be really handy if we could click "select all adults" and then just uncheck white/yellow instead of having to individually click all the green belts and above boxes.

It would be incredibly helpful to have a system where we can post events/check-out pages for outsiders to join or sign-up.  A big way we pull in leads are with in house events that we market to everyone....Parent Night Outs, Goal Setting Seminars, Easter Egg Hunts etc.  Having a system that can be available for anyone would be incredible helpful especially with the new year.  Also being able to generate a QR code for easy access to signing up for the event would also be amazing.

Add a specific liability waiver for tournament registrations. All members sign the general waiver when they join but it's a good practice to have one for the tournament too.

Could we please get the ability to sort the event lists?  Both by rank (for example, if we have one event time for all students so its not separated into time slots), first name, last name, etc.  It is really annoying when wanting to see if a family is registered and they aren't listed next to each other because it is only sorted by first name.  Thanks!

Champions Ceremony - Custom Order just means check-in order

For the Champion's Ceremony - under the sort options, selecting Custom Order just means it will go in the order that the students are checked in.  we recoginize our new 1st Degree Level 1's last in our ceremony (i.e. Yellow-Red 3, 1st Deg L2 - 3rd L3, then new 1st Deg L1 Black Belts) - I suspect other academies do as well. 

Can you add an check-box option to sort 1L1's last in the list?  I understand a work around would be to create a separate ceremony for them and have that slide deck come up after everyone else, but that would be clunky.

Champions Ceremony - Custom Order just means check-in order

For the Champion's Ceremony - under the sort options, selecting Custom Order just means it will go in the order that the students are checked in.  we recoginize our new 1st Degree Level 1's last in our ceremony (i.e. Yellow-Red 3, 1st Deg L2 - 3rd L3, then new 1st Deg L1 Black Belts) - I suspect other academies do as well.

I have two request if possible:

1. it would be great if we are having an event that is age specific, such as the DC, that the student age the day of the event is the event in which they register for.  For example I have a student that will turn 9 next week and should be in the 9,10,11 year old group for the event day but they have registered before they turned 9 which put them in the 6,7,8 year old group.

App Based Testing Sheets

Perhaps some of this is already in the works, but several enhancements would be very helpful for the Belt Test Events.

1. Add a tab for Certified Instructors / Staff - We can then assign the available Certified Instructors and Red Jackets to the event that will be available.  For the students in the app, in the event information they would see a list of what all Certfied Instructors and their Belt Rank will be conducting the test.

We are being charged $15 from Fiserv for 3 ACH rejects this month. All 3 were bad entries into the system during their membership creation.  Besides the fact that the reject fees are outrageous and 10 times what we were charged from Vericheck. No one should be further penalized for incorrect entry.What is the point of a "Verify" if its going to allow people to immediately submit a payment on what could be a bad entry.

When is the ACH rejects going to be fixed so they come back into the system, not that I have many of them but I do not keep a close eye and go look at cardponte to see if I've had any rejections and when we do they are difficult to account for.

 

Need to understand how we are to handle these and how do we re-process them in the app with a return check fee we impliment.

Add an area to insert upgrade program name when amending membership agreement for something other than adding a family member

I would like to see a field added that we could have a drop down menu of our upgrade programs: ie instructor training program, XP weapons program etc. So that when we do a membership agreement that adds a program it will be included in the membership agreement what program caused the price increase.

Block Event Enrollment if Recurring Billing is unpaid

We've instituted a policy of not allowing students to sign up for testing or tournament events if Recurring Billing is unpaid.  We have one student in particular that mom keeps her debit card blocked for security reasons and every month forgets to unblock it so we can charge his recurring and we have to email and call her to bring his account current.  However if she's signing him up for testing she will unlock her card so we have to manually exclude him until she's paid up.. we are moving them to ACH to possible solve this....anyhow... it would be nice if we had a couple additional tools at our disposal to aid in this.  Some ideas:

1. Give us a check box in Academy Management so we can enable blocking test or event enrollment if there are unpaid invoices. From the student side in the app if they go to enroll have it throw them an error and say they have unpaid invoices which must be paid before event enrollment and give them the option to pay them. 

2. Let us pre-configure an alert for the student when they sign in if they have an unpaid invoice we could have it pop up a message that said "$119 unpaid invoice - x days late. This was important enough to give it its own note. We NEED a way to add credit to a student/family account, and to designate what it may be used for. I.e. Unsubscribe

We need to have an unsubscribe link in all emails sent.  Pretty sure it may be required if we are sending a campaign out to past leads trying to advertise for things such as a new student day.  Current students may not care much about an unsubscribe, but past leads definitely will.

We have had some students saying they are not receiving emails from us.  When we go back and look at their emails, it appears that there was a space added after the ".com (or whatever)".  could this be causing the issue?  could we get it to validate this field and remove any white space at the end (honestly...add this to all fields would be even better)

With the holidays coming up and gifts being bought, it is a necessity that all authorized contacts do NOT receive an invoice for a sale. 

the way this should get set up is that there are authorized contacts for communications but then each student has an email put on file for POS receipts specifically (or the ability to select who receives the receipt).  Many of our students have their own email that is in the system or a spouse is in the system and they are buying for them.  

checkout needs to have a way to specify "who" receives and the ability to not send to a contact but rather a separate email that we could enter at time of checkout.  

we will have a lot of upset parents if their kid or spouse finds out gifts they bought as a surprise.

Item menu organization

Items in the point of sale menu are categorized by type this makes finding things easy, but when creating a new order the items are completely random. They should also be organized by the categories in the point of sale menu.

We have used the cardpointe app for the Tournament and Holiday sale (the app and sliders that were recommended to use for the ability to slide cards for faster sales).

Multiple payment methods

Is there a way to have multiple payment methods for a single order?  For example, $5 in cash and the rest on a credit card.

How do I clear a refunded POS invoice?

I have two invoices that I have refunded due to the items not being needed.  Unfortunately, there does not appear to be a way to clear the invoices from the "Unfulfilled Orders" slot on the dashboard.  How do I clear/delete them?

But we also sell pants and jackets separately.  Same with rebreakle boardsm they come to us in sets of green, gray, and Blue. But we also sell them as half boards or combined color boards.

Need ability to make partial payments on an invoice

I have many people who will pay partial invoices now and then make another payment later on a larger purchase. So we need the ability in point of sale to make an invoice and then partial pay it and for it to save to unpaid invoices for future payment of the balance.  This would be helpful in invoicing in Billing as well.

For the leads page, it would be nice to be able to clean up the data that shows a bit.  Couple of suggestions:

1.  Have a setting for automatically moving a hot lead to cold lead if there is inactivity on their profile after xx days (we set the xx days).

2.  Allow the user to modify their leads dashboard page (for example, we don't always want the hot leads pulling up everytime we view the leads page).  We'd like to set which categories show by default.  

3.  We need a communication tab on the leads so that we can view the last time we sent them a message.

2.  Could we make the leads dashboard be the Contact info name instead of the student name, then put the student name in the box below?  Many leads stop after the first page, so if they don't create an appointment, it is easier to see the lead name (contact name) than it is to look inside the small box for it.  Even better, could we get the Contact name AND student name on the Same Page for the lead form?  

3.  Instead of a walk-in trial, could we get just a page that goes to the release?  So Essentially a blank release page that would then create a lead based off the information?  For our new student night, this would make it a lot faster and more convenient for people (see the attachment for which page I am talking about).

4.  Could we get the birthdate field to be 3 different drop downs (month, day, year) rather than an HTML5 datefield.  Many people struggle figuring out out how to switch between years on the field that is there.  

5.  On the Release page, could we get the option as to whether or not it is signed vs an electronic signature where they type their name?  Electronic signatures are legally binding when the correct phrasing is used and date/time are kept track of.

Trial Student Access

It would be nice to be able to give trial students limited access to the app. So that they could see their class schedule, lessons, attended and make pro shop purchases. I guess technically they could have full access. They just would not have any event history or be able to register for events.

Can we make it where people cannot see/use the appointment screen until AFTER they enter the student information? I am getting multiple "leads" with contact info, but no student name or age information. Can't send them release that says "name not provided."  If I have to wait until they actually show up, there is little value to the app over what I did before. OR, and this is a real possibility, I have something set up wrong. 

Could it be false leads? I am sending a communication to them asking for the info, but not one has responded.

It would be nice if we could have a way to identify duplicate leads, for instance I have a cold lead, that has now schedule as a new lead and established an appointment.  If the system could identify when a new lead is coming in that it can match the record and then add to it instead of creating a new lead.  It would also be nice if we could merge leads together.  This way any notes, appointments, etc. will be combined.

It would also be a helpful enhancement for others in management & instruction. My boss would be able to more clearly see what we've accomplished each week, and our Program Coordinator can more quickly and easily prepare for new attendees in each class.

Is there a way to resend the "get started" button/link to leads that have not created an appointment.  My automation first email has it but is there a way to create a manual communitation with it?

If someone knows they want to sign up for a trial, they need specific language guiding them to that. If someone signs up for more information and wants to be contacted, they need a different flow, that after they fill out the contact form, they can get a page asking if they would like to sign up for a trial with the appointment.  Using what we have I have created both initial pages for a trial sign up, and a contact page.  The trial sign up flow is good.  The contact flow needs improvement on the upsale to the trial.

Lead Check-in page

Could we get a lead check in button added to the lead page?  I know leads with an appt can checkin via the student check in, but what we need is a way for any lead to check in (hot lead or appt set lead).  Here is the process we are picturing:

1.  Lead walks in through door (for example New Student night....we don't set appt in the app for this one due to the default message not being editable...we don't want them getting that email)

2.  Lead checks in on an ipad we have sitting out

3.  If lead has already filled out the waiver, it checks them in and nothing further is needed.

4. If lead has not filled in a waiver, it prompts them to fill one out and finish the process.  

5.  If lead is not found, they can start the process of filling out a "default offer" trial and complete process.  

6.  Academy can then view a report at the end of the day as to which leads showed up and which didn't.  

 

This would be very handy for a smoother check in process.  Right now, we have to login to the staff portal, load the leads, click their name and check if a waiver has been signed (on an ipad, it DOES NOT show under the lead whether a waiver is completed or not), then generate a waiver, and either hand them the ipad or send them a link to sign it.  This would help save so much time checking people in for a big event like new student night or on nights when we have several trials starting (we will get some classes that have 10 new trials)

Select a membership agreement

Could we get a way to select the "version" of the membership agreement (and also be able to name the agreements).

Termination Enhancement

It would be great to be able to get to the student profile from the agreements view.  For example I clicked on a student name from the paused list in the dashboard and it goes strait to the agreement. It would be great to be able to get right back to the student profile from those views.  

Can those agreement views just be a window under the student profile. 

IE looking at a student profile, click on the agreements tab, click on an agreeemnt and then the agreement comes up as part of that window or just expands that line with the agreement.

It would be great to see if the customer has clicked on the link and viewed contracts, even if they have not signed.  A history of when it was clicked, viewed, and by whom (ip address?).  This way we can verify that yes we sent you the contract, you viewed it....
